Getting started with QuoteCloud

Commercial leasing proposals, approved then signed

Leasing evidence, the recommended asking rent, your fee options and the marketing plan for a landlord's vacancy, approved before it goes and signed by each director.

QuoteCloud lets commercial agents pitch for a leasing appointment in one branded proposal: leasing evidence per square metre typed in by the agent, the recommended asking rent, fee options with worked examples, a marketing price table paid on signing, and the landlord's directors each signing online. Business adds approval before sending.

The cover of a sample commercial leasing proposal from a fictional agency, Fernleigh & Sloane Property, for the ground floor of 120 Harrow Street, 420 m² of open office floor. Beside it, the proposal's contents tick off one by one: leasing evidence typed in by the agent, a recommended asking rent of $500 to $540 per square metre net, locked leasing fee options with worked examples, a marketing campaign of $3,663.00 inc tax paid on signing, and both directors signing. Last, the approval panel: In Review because the total value is greater than $3,000, approved by the principal, Laura Sloane.

A leasing pitch the landlord's board can sign

The sample proposal for a 420 m² ground-floor office, part by part, with what the agent edits, what the landlord chooses and what stays locked.

The floor, its area, ceiling height, frontage and parking in the agent's words, with your photo of the space. The landlord's company is filled in from the template's data items.

  2. Locked block

    Fee options, worded once

Two leasing fee options with worked examples at three rents. The fee is invoiced by the agency when the lease is signed, under its leasing authority: it is content here, never charged through QuoteCloud. Lock the wording so nobody edits it by accident.

Leasing evidence per square metre, and the rent you'd ask

Commercial landlords want to see why you'd ask $520 a square metre and not $560. Put the leases you'd rely on in a table: address, date, area, net rent per m², term and incentive, then draw your recommended range against them.

The evidence is yours. QuoteCloud does not pull lease data from any portal or data provider: the agent types it in, or a CRM or database sends it as data items through the QuoteCloud API or Zapier.

  • Each lease you rely on, with its rent per m² and term
  • Your recommended asking range drawn on a rent scale
  • Edited in seconds when a new deal is done down the street
  • Exported to PDF for a landlord's board pack (Starter and up)

Your principal approves it before it leaves the office

A commercial pitch commits the agency to fees and spend. On the Business plan, an approval workflow holds a proposal In Review when its total value or discount passes the threshold you set. Here: any leasing proposal with marketing over $3,000.

The principal approves or declines from the approval panel, and only then can the agent send it. Each decision shows in the workflow panel's activity log.

  • Triggers on total value or discount percentage
  • Named approvers, such as the principal or head of commercial
  • Approve or decline before the landlord sees anything

One figure behind both fee options

420 m² at the recommended $520 per m² net is the first year's net rent the worked examples are calculated from. The agent types the examples in, so the landlord compares the options in dollars, not percentages.

One template set for every kind of vacancy

The same proposal structure, with the evidence and marketing that suit the space.

  • Office

Net rent per m², the fit-out and incentives in the evidence, floor plans and twilight photography as marketing options.

  • Retail

Frontage, foot traffic notes in your words and comparable shopfronts, with signage and window graphics in the campaign.

  • Industrial

Warehouse area, clearance and hardstand in the cover, and drone photography of access and yard as an option.

Commercial leasing proposals, answered

Can our principal approve a proposal before it goes to the landlord?

Yes, on the Business plan. An approval workflow can hold a proposal In Review when its total value or discount passes a threshold you set; named approvers approve or decline, and only then can it be sent. Each decision shows in the workflow panel's activity log.

Does QuoteCloud pull leasing evidence or market rents?

No. Leasing evidence and the recommended rent are the agent's own content: type them into a table in the proposal, or have your CRM or database send them as data items through the QuoteCloud API or Zapier. QuoteCloud does not connect to commercial portals, lease databases or market data providers.

Is the leasing fee charged through QuoteCloud?

No. Set your fee options out as content with worked examples. The fee is invoiced by your agency when the lease is signed, under your leasing authority. Only the marketing campaign goes in the price table, and it can be paid in full or in part on signing through your Stripe or PayPal account.

Can both directors of the landlord company sign?

Yes. Add each director as a signer with their own signature block. They sign online in their own inbox, with no account, and the proposal shows how many have signed. A signing order is not set: each signs when they are ready. The signed copy carries a certificate of authenticity and an audit trail.

Can we send a heads of agreement for a tenant from QuoteCloud?

You can build a heads of agreement summary from your own template and have the parties sign it, as you would any document. It is a summary of the terms agreed, not the lease: the lease itself is prepared separately, through your usual process. QuoteCloud does not provide or check legal documents.

Can the landlord get a PDF for their board?

Yes. Any proposal can be exported to PDF from the Starter plan up, so a landlord can circulate it to a board or investment committee. The live proposal stays the one they sign, and you still see when it is opened and how long it is read (tracking is on Essentials and up).
