Getting started with QuoteCloud

Connect listing proposals to your real estate CRM

Create proposals from your CRM's appraisal data through Zapier, Make or the API, and send signatures and deposits back to it.

QuoteCloud connects to agency systems through Zapier, Make or the QuoteCloud API from Essentials: an automation creates a listing proposal from your template, fills data items such as vendor names, address and price guide, and adds campaign rows. Triggers such as Recipient Signed Document can update the CRM. Pipedrive, Xero and QuickBooks are native on Business.

The document history of a sample listing proposal from a fictional agency, Fernleigh & Sloane Property, for Claire and Tom Whitaker: proposal sent, opened by Claire at 7:42 pm, drone photography added, opened by Tom, both vendors signed, and the $4,070.00 campaign deposit paid via Stripe. Each of these events can be passed to the agency's CRM through Zapier, Make or the API.

What your CRM already knows, and where it lands in the proposal

The appraisal record for 14 Linden Crescent, field by field. An automation passes these to QuoteCloud when it creates the proposal, so nobody retypes them.

Listing type Residential sale, auction Your Zap or scenario picks which agency template to create from, such as the auction listing template. The rule lives in the automation.
Vendors Claire & Tom Whitaker Data items on the cover, in the welcome letter and anywhere else the template uses their names.
Property 14 Linden Crescent, Marlowe Heights · 4 bed, 2 bath, 2 car, 640 m² Data items for the address and the property details in the title and the comparable sales table.
Price guide $1.25M to $1.35M A data item in the price guide, as the agent entered it in the CRM.
Comparable sales Four sales the agent selected after the appraisal Sent as data items, or typed into the comparables table before sending. QuoteCloud never fetches sales or portal data.
Campaign Signature campaign quoted at the appraisal Price-table rows added at creation: label, note, price and quantity. Upgrades stay optional: the vendors tick their own.

From appraisal booked to listing signed

One listing through the CRM and QuoteCloud. The automation runs in Zapier, Make or your own code against the QuoteCloud API.

  1. Appraisal done

The agent moves the appraisal to a proposal stage in the CRM. That change starts your Zap, scenario or API call.

  2. Proposal created

From the right template, with data items filled and the campaign rows added. The agent adds anything else and sends it.

  3. Opened

Recipient First Viewed Document can note on the CRM record that the vendors have opened it, so the agent calls at the right time.

  4. Signed

Recipient Signed Document can move the record to listed, or create the next task for the photographer.

  5. Deposit paid

Document Payment Event can record the campaign deposit, or create the invoice in Xero or QuickBooks (native on Business, otherwise via Zapier).

What the automation sets, and what it leaves to the vendors

An automation creates the proposal from the template you choose, fills its data items and adds price-table rows: label, note, price, quantity, tax and discount. The cover, welcome letter, method of sale and commission wording come from the template itself.

It doesn't tick upgrades or choose blocks: the vendors choose their own options in the proposal, and each template carries its own sections. Documents created through the API or Zapier carry a creation fee of US$2.00 each up to 1,000 a month, $1.80 to 5,000 and $1.60 above. No fee is stated for Make.

How each system connects, and on which plan

Zapier, Make and the API are on Essentials. Native CRM and accounting integrations are on Business.

  • Your real estate CRM

No named real estate CRM is built in. Connect yours through Zapier or Make where it has an app, or have your developer use the QuoteCloud API.

    Document automation API
  • HubSpot and Zoho CRM

Through Zapier: a deal can create the proposal, and opens and signatures can update the deal. Never a two-way sync.

    HubSpot integration
  • Pipedrive

Connected directly on Business: create the proposal from a deal, and its status shows on the Pipedrive record.

    Pipedrive integration
  • Xero and QuickBooks Online

Native on Business, otherwise via Zapier: a paid campaign deposit can create the invoice in Xero or QuickBooks Online.

  • Stripe and PayPal

Built in from Essentials: the campaign deposit or engagement fee is paid on signing into your own account.

    Online payments
  • Google Calendar

Through Zapier, one way: a signed listing can add the photography day to the agent's calendar.

Every proposal's status, ready for the CRM

QuoteCloud keeps a status for every proposal: Sent, Opened, Signing, Accepted, Paid. Document Status Changed can write it to the matching CRM record, so the sales meeting runs from one list.

Proposals with an expiry date show under Expiring Soon, so the agent sees which vendors to call before the offer lapses.

  • Statuses for every proposal in the dashboard
  • Expiry dates and the Expiring Soon filter
  • Status changes passed on through Zapier or Make

CRM and integrations, answered

Is there a built-in integration with our real estate CRM?

Not a named one. Real estate CRMs connect through Zapier or Make where they offer an app, or through the QuoteCloud API with your developer. Documents created through the API or Zapier carry a per-document creation fee. HubSpot and Zoho connect through Zapier, and Pipedrive connects directly on the Business plan.

What can an automation put into a listing proposal?

It creates the proposal from the template you name, fills its data items, such as the vendors' names, the address and the price guide, and adds price-table rows with a label, note, price and quantity. It does not tick upgrades or choose content blocks: the vendors choose their options, and the template supplies the sections.

Can QuoteCloud update the CRM when vendors open or sign?

Yes, through Zapier, Make or your own code. Triggers include Recipient First Viewed Document, Recipient Signed Document, Document Payment Event and Document Status Changed, so the CRM record can show that the vendors opened the proposal, signed it or paid the campaign deposit. It is a one-way update, not a sync.

What does it cost to create proposals through the API or Zapier?

Zapier, Make and the API are on Essentials and up. Documents created through the API or Zapier carry a creation fee: US$2.00 each for up to 1,000 a month, US$1.80 from 1,001 to 5,000, and US$1.60 above that. No per-document fee is stated for Make.

Can a paid campaign deposit go into Xero or QuickBooks?

Yes. Xero and QuickBooks Online are native on the Business plan, otherwise they connect through Zapier: a Document Payment Event can create the invoice or record the payment. QuoteCloud does not do trust accounting, so decide with your accountant how campaign funds are received and recorded.

Do we need a developer to connect our CRM?

Not for Zapier or Make. If your CRM has a Zapier or Make app, an agency administrator can build the automation: choose the trigger in the CRM, then create the QuoteCloud document from a template. The QuoteCloud API needs a developer. QuoteCloud also offers consultancy and integration setup for Zapier, the API and other platforms; contact sales for details.
