Getting started with QuoteCloud

Buyers' agent engagements signed with the fee paid

The buyers' brief in their words, your service options, the engagement fee they pay on signing and your success fee set out clearly.

QuoteCloud helps buyers' agents turn a discovery call into a signed engagement: the brief as data items and notes, service options such as full search or auction bidding as a price table, the engagement fee paid on signing through Stripe or PayPal, and the success fee set out as content with worked examples. Both buyers sign online.

A sample engagement proposal from a fictional buyers' agency, Northpoint Buyers Advocacy, to Daniel and Rosa Ferreira. It opens on the cover, scrolls to their brief (a four-bedroom family home in Marlowe Heights or Kellyvale near a primary school, up to $1,450,000), then auction bidding is ticked as an option and the total updates to $4,389.00 inc tax. The buyers sign and the engagement fee is paid in full via PayPal.

The brief, the service and the fee in one engagement

After the discovery call you know what Daniel and Rosa want: four bedrooms near a school, a yard for the dog, up to $1,450,000. Write the brief into the proposal in their words, so they sign off the search you're about to run.

Below it, your engagement fee and the services they can add, such as bidding at auction or arranging inspections, in a price table. They tick what they want, sign, and pay the engagement fee on the same page.

  • The brief as notes, with their questions answered in comments
  • Engagement fee and optional services in a price table
  • Paid in full on signing through your Stripe or PayPal account
  • Both buyers sign in their own inbox, with no account

The success fee, set out but never charged here

Buyers want to know what they'll pay when you find the home. Set your success fee options out with worked examples at the prices in their budget, so a fixed fee and a percentage can be compared in dollars.

The success fee is content. You invoice it on exchange under your engagement terms; QuoteCloud only takes the payment on signing that you set up, here the engagement fee.

  • Fixed and percentage options side by side
  • Worked examples you type in at their price points
  • Lock the wording on Business so every proposal says it the same way

From discovery call to a paid engagement

Five steps, so no search starts before the buyers have committed.

  1. Discovery call

Take the brief: suburbs, budget, must-haves and timing. Note anything they ask that belongs in the engagement.

  2. Brief into the template

Open your engagement template; the buyers' names and brief go in as data items and notes, by hand or from your CRM through Zapier or the API.

  3. Services and fees

Engagement fee and optional services in the price table; success fee options as content with worked examples.

  4. Signed and paid

Both buyers sign online, and the engagement fee is paid on signing through Stripe or PayPal. The proposal is marked Paid.

  5. Start the search

The signed copy, with its certificate and audit trail, is your record of the brief you agreed. Now you search.

Three ways buyers engage you, one template

Set your service levels up once as packages or optional lines, and every proposal prices them the same way.

  • Full search

Search, shortlist, appraisal of each home and negotiation, for an engagement fee up front and a success fee on exchange.

  • Appraise and negotiate

For buyers who've found the home: your assessment of value and the negotiation, priced as its own option.

  • Auction bidding

An optional line the buyers tick: you bid for them on the day, in person, with the fee added before they sign.

Buyers' agent engagements, answered

Can the buyers pay the engagement fee when they sign?

Yes. Set the payment on signing to the full engagement fee (or a percentage or fixed amount) and connect Stripe or PayPal (Essentials and up). The buyers sign and pay on the same page, and the proposal is marked Paid. Your success fee stays in the engagement terms, invoiced on exchange as usual.

Can both buyers sign the engagement?

Yes. Add each buyer as a signer with their own signature block. They sign online in their own inbox or browser, with no account, and the proposal shows how many have signed. There is no set signing order. The signed copy carries a certificate of authenticity and an audit trail.

Can buyers fill in the brief inside the proposal?

On the Business plan, a Forms block puts questions inside the document itself, so buyers can confirm suburbs, budget and must-haves before they sign. It is a form within the proposal, not a website form. On other plans, write the brief into the proposal from your discovery call.

Does QuoteCloud give us access to listings or sales data?

No. QuoteCloud is for the engagement: the brief, your services, the fees and the signatures. It does not connect to property portals, off-market listings or sales data. Any figures in the proposal, such as worked fee examples, are typed in by you or sent from your own systems through the API or Zapier.

Is the engagement proposal our buyer agency agreement?

Not unless you make it one. Many buyers' agents send the QuoteCloud proposal alongside their own agency agreement, which is prepared for their market and signed as usual. QuoteCloud does not provide statutory forms or check documents against any local requirements.

Which plan do we need?

eSignatures are on every plan. The price table, payment on signing through Stripe or PayPal, templates and tracking start on Essentials at US$39 per user a month. Business at US$59 adds the Forms block, content locking for your fee wording and approvals. Both have a 14-day free trial with no credit card.
