Getting started with QuoteCloud

Property management proposals landlords sign online

Management fee options side by side with the services each includes, your rental appraisal and the letting costs, signed by the landlord.

QuoteCloud helps property managers win new landlords with branded proposals: a rental appraisal, management options as a percentage of rent with the services each includes, one-off letting costs in a price table and the landlord's eSignature. Your management agreement sits alongside it, and rent and trust money stay in your property management software.

A sample property management proposal from a fictional agency, Fernleigh & Sloane Property, for Anjali Rao's two-bedroom apartment at 3/41 Juniper Street, Marlowe Heights, advertised at $720 a week. Three management options sit side by side: Essentials at 6.6%, Full service at 7.7% and Complete at 8.8% of rent collected, with the services each includes. In front, the landlord's signature with what she chose: Full service, about $55.44 a week, and letting costs of $1,155.00 inc tax.

Landlords compare your options and choose one in the proposal

A landlord interviewing three agencies wants to know two things: what they get and what it costs. Put your management options in columns with the services each one includes, and the weekly fee at the rent you'd advertise.

The options are a single choice in the proposal, so the landlord picks one level. Set out what each comes to a week at the advertised rent, so nobody has to do the maths. Below it, the one-off costs of finding the first tenant sit in a price table, with optional extras such as a pre-lease clean they can tick themselves.

  • Your rental appraisal in the cover letter, in your words
  • Options as a percentage of rent, with the services in each
  • Letting fee and advertising in a price table, extras optional
  • Fees are deducted from rent under your management agreement, not charged through QuoteCloud

Signed by the landlord, and on to your rent roll

Anjali signs on her phone with no account to create. You see when she opened the proposal and when she signed, and the signed copy carries a certificate of authenticity and an audit trail.

QuoteCloud stops at the signature. Rent collection, trust accounting, inspections and maintenance stay in your property management software. If it has a Zapier or Make app, or an API, the Recipient Signed Document trigger can add the new owner there, so nobody retypes the details.

  • eSignature on every plan, with an optional one-time passcode
  • Opened and signed, with times, in the document history
  • A Zapier or Make step to your property management software when it's signed

What changes when the management pitch is one document

The work a property manager does to win a landlord, before and after QuoteCloud is set up with your options and wording.

The jobTodayWith QuoteCloud
Rental appraisal A letter in Word, a brochure PDF and a fee schedule attached separately. One branded proposal: the appraisal, your options and the letting costs, with your photos of the property.
Fee options Three rates in an email and a phone call to explain what each includes. Options in columns with the services each includes; the landlord chooses one before signing.
Letting costs Advertising and letting fees discovered on the first statement. Set out up front in a price table, with optional extras the landlord ticks.
The agreement Printed, signed, scanned and filed. The proposal is signed online; your management agreement is signed alongside it, from your own template.
Annual review A fee review letter merged and posted to every landlord. One template bulk-sent as a personalised copy to each landlord, with who opened and accepted it.
Onboarding The new owner retyped into the property management software. A Zapier or Make step adds them when the proposal is signed, where your software connects.

Four moments a property manager sends a proposal

The same management template, sent at the points where landlords decide who looks after their property.

  • A new investor

After the rental appraisal: the advertised rent, your options and the letting costs, signed before the photographer books in.

  • A landlord switching agencies

Show what changes with you, service by service, beside the fees they pay today, which you type in from their statement.

  • The annual fee review

Bulk-send one review proposal to every landlord on a plan: each copy carries their name, property and current option. Bulk send has volume-based costs.

    Bulk send
  • A vendor who decides to rent

When a listing appraisal turns into a lease, the sales agent hands over to you and the same agency brand carries through.

The fee in dollars a week, not just a percentage

At the $720 a week you'd advertise, Full service at 7.7% comes to about $55.44 a week. The landlord sees what each option comes to before choosing, set out by you at the rent you recommend.

Property management proposals, answered

Does QuoteCloud collect rent or manage the tenancy?

No. QuoteCloud sends the proposal and collects the landlord's signature. Rent collection, trust accounting, inspections and maintenance stay in your property management software; a Zapier or Make automation can add the new landlord there when the proposal is signed, if your software has an app or API to connect to.

Can the landlord choose a management option inside the proposal?

Yes. Set your options out as a single-choice group with the services each includes, and the landlord picks one before signing. Your management fees are a percentage of rent deducted under your management agreement, so they are shown as content; one-off letting costs and optional extras go in a price table. Price tables are on Essentials and up.

Is the Property Management Agreement Template compliant where I operate?

QuoteCloud does not check documents against any local requirements. The template is a starting point you brand and edit. Many agencies keep their own management agreement, prepared for their market, and send the QuoteCloud proposal alongside it, or convert their own agreement into a template.

Can we send annual fee reviews to every landlord at once?

Yes, with bulk send on Essentials and up. One review template goes out as a personalised copy to each landlord, with their name, property and option filled in, and you see who opened and who accepted. Bulk send has volume-based costs. QuoteCloud does not send reminders or change fees by itself.

Will I know when the landlord has read the proposal?

Yes. QuoteCloud shows when a proposal is opened and how long it is read, and the document history records each step to signing. The dashboard shows each proposal's status, such as Sent, Opened or Accepted, and expiry dates flag proposals about to lapse. Tracking is on Essentials and up.

Which plan does a property management team need?

eSignatures are on every plan. Price tables, templates, tracking, bulk send and Zapier or Make connections start on Essentials at US$39 per user a month. Business at US$59 adds approvals, content locking for your fee wording and version history. Both start with a 14-day free trial and no credit card.
