Getting started with QuoteCloud

Listing and appraisal proposals vendors sign online

The property, your comparable sales and price guide, method of sale, commission options and a campaign the vendors tailor, in one proposal every vendor signs.

QuoteCloud lets agents send listing and appraisal proposals from the agency's templates: the cover and property, comparable sales and a price guide typed in by the agent, the method of sale and campaign plan, commission options as content, and campaign packages with optional upgrades in a price table. Every vendor signs online and the campaign deposit can be paid on signing.

A sample listing proposal from a fictional agency, Fernleigh & Sloane Property, for 14 Linden Crescent, Marlowe Heights, lying on a table in front of another agent's printed kit. Its four parts light in turn: four comparable sales against a price guide of $1.25M to $1.35M, sale by auction with a three-step plan, the Signature campaign with drone at $8,140.00 inc tax and two commission options, then both vendors signed and the 50% campaign deposit of $4,070.00 paid.

A listing proposal, read the way the vendors read it

Claire and Tom Whitaker are comparing three agents for 14 Linden Crescent. This is the proposal Nina sent the evening after the appraisal, part by part: what she typed in, what the agency locked, and what the vendors chose.

  1. Agent edits

Their home, their names, your words

The vendors' names and the address are data items, filled once and used through the document. The note at the top is Nina's own, written after the walk-through, so the proposal reads like the conversation they just had.

Thank you both for showing me through on Thursday. Below are the sales I'd compare your home with, how I'd take it to market, what we'd charge, and the campaign I'd recommend, with the upgrades you can add yourselves.

  2. Agent types

    Comparable sales the agent chose

Four sales Nina picked from her own research, typed into a table with the price guide drawn against them. Nothing is pulled from a portal or a data feed; if your CRM holds the figures, it can send them through the API or Zapier.

How you'll sell it, and when

The method of sale comes with the template you start from: auction, private treaty or expressions of interest, each with its own plan to the key date. Nina adds one line on why it suits this home.

    Method of sale and commission

    Method of sale Auction

    • AuctionA 4-week campaign to a fixed date, with buyers competing on the day.Recommended
    • Private treatyAn asking price and offers by negotiation over 6 weeks.
    • Expressions of interestWritten offers by a closing date, for buyers who need time.
    1. Week 1Photography, video and copy approved by you
    2. Weeks 1–4Online launch, open houses, buyer feedback each Monday
    3. Week 4Auction on site, Saturday 12 December

Why auction: three recent sales in the street drew several bidders, and a date gives buyers a reason to act.

  4. Locked agency block

Commission, in the agency's own words

Flat and incentive options with worked examples, as content. The wording comes from the content library as a locked block, so no agent rewrites it; the figures are typed in. Commission is paid at settlement under your agency agreement, never through the proposal.

A campaign the vendors build themselves

Three campaign packages as a single choice and five upgrades as optional rows. Claire picked Signature and added drone; the vendor-paid advertising, tax and total followed. Try it: change the package or tick an upgrade.

    Questions answered in the proposal

Next steps, including the agency agreement you prepare and sign alongside it. Tom asked about a dusk drone shoot in a comment and Nina replied in the same thread, so the answer stays with the proposal.

    Next steps

    • Your agency agreement: this proposal sits alongside our agency agreement, which we prepare and sign with you separately.
    • Photography is booked for the first fine evening after you sign.
    • We invoice the campaign balance before the launch date.

Tom WhitakerCould the drone shoot be at dusk, with the twilight photos?

Nina CastellanYes, we'll book both for 6.45 pm on the same evening.

  7. Every vendor signs

Both vendors sign, the deposit is paid

Each vendor signs in their own browser with no account, and the 50% campaign deposit is paid on signing through the agency's Stripe account and the proposal is marked Paid.

Before the appraisal: a pre-listing kit that opens like a proposal

Send the vendors a short kit before you knock on the door: who they'll meet, photos from the agency's recent campaigns and what you'll bring to the kitchen table.

It goes out from the same template set as the listing proposal, so the follow-up the next evening looks and reads like the same agency. You also see when it's opened, so you know whether they've read it before you arrive.

  • Gallery block of your recent campaign photos (Starter and up)
  • Data items for the vendors' names, address and appointment time
  • Saved in the content library so every agent sends the same kit

Pre-listing kit

Before we meet: 14 Linden Crescent

Prepared for Claire & Tom Whitaker · Sent 10 November 2026 · Appraisal Thursday 12 November, 5.30 pm

Thanks for asking us to appraise your home on Thursday. Here is who you'll meet, how we market a home like yours, and what we'll bring to the kitchen table.

At the appraisal

  • Nina Castellan, sales agent, and Laura Sloane, principal, will walk through with you.
  • We'll bring the recent sales we'd compare your home with, and ask what matters to you about timing.
  • Within a day you'll receive our listing proposal: price guide, method of sale, commission and a campaign you can tailor.

From the kitchen table to a signed listing

What an agent does in QuoteCloud between leaving the appraisal and booking the photographer.

  1. Pick the template

Start from the agency's listing template for the method of sale, with your brand, campaign packages and locked wording in place.

  2. Add your evidence

Type in the comparable sales and price guide, or let your CRM send them through the API or Zapier.

  3. Write the pitch

A few lines on the home and why the method suits it. Commission figures go in the worked examples.

  4. Send to every vendor

One branded link per vendor, with an expiry date. You see when each one opens it.

  5. Signed and funded

The vendors choose the campaign and sign, and the campaign deposit is paid on signing. Your agency agreement is signed alongside.

Listing proposal questions, answered

What goes into a real estate listing proposal?

Usually the property and a note from the agent, comparable sales and a price guide, the method of sale and campaign plan, commission options with worked examples, the marketing campaign the vendors pay for, next steps and a signature. In QuoteCloud each part is a block in your agency's template, so agents fill in the figures rather than rebuilding the document.

Can the comparable sales come from our CRM?

Yes, if your CRM or another system sends them: the QuoteCloud API or a Zapier or Make automation can create the proposal from your template and fill data items with the figures it holds. QuoteCloud does not look up sales itself; the agent chooses the evidence and can edit it before sending.

Is the listing proposal our agency agreement?

No. The proposal is your pitch and the vendors' campaign choice. It sits alongside your agency's own agency agreement, which you prepare and have signed through your usual process. QuoteCloud does not supply statutory forms or check that a document meets your local requirements.

Can we stop agents changing the commission wording?

Yes. Save the commission block in the content library and lock it, so agents can add it to a proposal and type in the figures but only permitted roles can change the wording. The content library is on Essentials and above; content locking is on the Business plan.

Can we send a pre-listing kit before the appraisal?

Yes. A pre-listing kit is just another template: who the vendors will meet, a gallery of recent campaigns and what to expect. Send it with an expiry date and see when it is opened. Image and gallery blocks are on Starter and above; tracking on Essentials and above.

How long is a listing proposal valid?

As long as you set. Give each proposal an expiry date, such as 14 days after the appraisal, and the Expiring Soon filter shows which ones are about to lapse so you can follow up first. Nothing is resent or renewed by itself.
