Getting started with QuoteCloud

Rolling out QuoteCloud across your agency

Your listing kit converted, campaign prices and commission wording loaded, roles and approvals set, and training for sales and property management.

Agencies roll out QuoteCloud by converting their listing kit and management proposal into templates, loading campaign prices into the catalogue, locking commission wording in the content library, setting roles and approvals for the principal, and training agents. One template conversion is free during the trial, a 45-minute training is included on paid plans, and onboarding services are available.

Three screens from a fictional agency, Fernleigh & Sloane Property, once QuoteCloud is set up, taking turns at the front: the agency's three campaign packages (Essential, Signature and Prestige) ready for every listing proposal; an approval panel where the principal, Laura Sloane, has approved a commercial proposal over $3,000; and the documents list on the Expiring Soon filter, showing four listing proposals that expire in the next 14 days.

A sample first month for an agency

Sales first, because that's where the listing kit is. Then the money, the controls, and the property management and commercial teams. Your timing depends on how many offices and templates you have.

  1. Phase 1, Week 1

    The listing kit goes live

    You bring
The listing proposal your agents send today (PDF or Word), your brand, and one recent listing to test with.
    QuoteCloud gives you
One template converted free during the trial, with your cover, comparable sales table, method of sale and commission sections.
    Done when
An agent sends a real listing proposal and both vendors sign it online.

Free conversion: Essentials, Business and Enterprise trials

  2. Phase 2, Week 2

    Campaign prices and wording

    You bring
Your campaign packages and supplier price list, and the commission wording your principal has approved.
    QuoteCloud gives you
Campaign items in the product catalogue (CSV import with column mapping), packages and upgrades in the price table, sections saved to the content library.
    Done when
Every agent prices a campaign from the same list and the same wording.

Catalogue and content library: Essentials and up

  3. Phase 3, Week 3

    Deposits, roles and approvals

    You bring
The Stripe or PayPal account each office uses, who can edit templates, and when the principal must approve.
    QuoteCloud gives you
The campaign deposit on signing, custom user roles, locked commission blocks and an approval rule on total value or discount.
    Done when
A test proposal is approved, signed and paid, and an agent can't edit the locked wording.

Roles: Essentials and up · locking and approvals: Business

  4. Phase 4, Week 4

    Property management and commercial

    You bring
Your management proposal and agreement, your commercial leasing pitch, and your CRM login.
    QuoteCloud gives you
Management and leasing templates, bulk send for appraisal follow-ups and fee reviews, and a Zapier or Make connection to your CRM.
    Done when
Each team has sent a proposal from its own template, and the 45-minute training is done.

A sample plan, not a promise: your timing depends on the number of offices, templates and integrations.

Campaign prices loaded once, used in every proposal

Import your campaign items, from photography and floor plans to portal upgrades and letterbox drops, into the product catalogue from a CSV file, mapping each column as you go.

Then build the packages vendors choose from and the upgrades they can add. When a supplier's price changes, update it in the catalogue instead of in every agent's copy of a spreadsheet.

  • Packages as a single choice, upgrades as optional lines
  • Items with SKU, category, price and cost, with Active, Draft or Inactive status
  • Your cost and margin hidden from vendors

What a principal gets once it's rolled out

The value of the implementation, job by job across the agency.

The jobBeforeOnce QuoteCloud is set up
Brand Every agent's listing kit looks a little different. One branded template set for sales, property management and commercial.
Campaign prices Old prices in old copies of the spreadsheet. Campaign packages and upgrades from one catalogue.
Commission wording Rewritten, and sometimes discounted, proposal by proposal. Locked blocks on Business, and approval when a discount passes your limit.
Campaign funds Invoiced after the listing and chased before the launch. The deposit paid on signing, into each office's own Stripe or PayPal account.
Pipeline Asking agents which vendors have read the proposal. Every proposal's status, and Expiring Soon, in one list.

The principal's controls: locked wording and approvals

Commission is where a proposal can go wrong. Save your commission options to the content library and lock them, so agents add the block without editing it.

Where agents can discount, an approval rule holds the proposal In Review once the discount or total value passes your limit, until the principal approves.

  • Custom user roles decide who can edit templates (Essentials and up)
  • Locked blocks agents can use but not change (Business)
  • Approvals on discount percentage or total value (Business)

What stays in the systems you already have

QuoteCloud is where proposals are written, chosen, signed and the first payment taken. It does not replace your CRM, your trust accounting or your property management software, and implementation doesn't move data out of them.

Keep your statutory agency and management agreements in your usual process: the QuoteCloud proposal sits alongside them. Comparable sales and leasing evidence stay the agent's own content, typed in or sent from your CRM through Zapier, Make or the API.

  • No trust accounting, rent collection or bond handling
  • No portal or sales data feeds
  • No statutory forms or checks against your local rules
  • Decide with your accountant how campaign funds are received

Implementation, answered

How long does it take to set up an agency?

It depends on how many templates and offices you have. A typical plan is to convert the listing kit first, load campaign prices, then add property management and commercial templates. One template conversion is free during the trial; paid onboarding and professional services can do the rest.

Can each office take deposits into its own account?

Yes. Payments go through your own Stripe or PayPal account, and each team in QuoteCloud can connect its own Stripe account, so an office's campaign deposits are paid to that office. Decide with your accountant how campaign funds are received; QuoteCloud does not do trust accounting.

Can we import our campaign price list?

Yes. The product catalogue imports a CSV file with column mapping and validation, so photography, floor plans, portal upgrades and print can be loaded in one go, each with a SKU, category, price and your cost. Campaign items then go into proposals from the catalogue. The catalogue is on Essentials and up.

What training is included?

Paid plans include a complimentary 45-minute virtual training session and Q&A. Extra 60-minute sessions are a paid add-on, which suits agencies that train sales, property management and commercial teams separately. The QuoteCloud user guide has step-by-step articles for self-paced learning.

Who can change templates and commission wording?

You decide. Custom user roles (Essentials and up) control who can edit templates and content libraries. On Business, locked blocks keep commission options and disclaimers word for word, and approvals hold a proposal for the principal when a discount or total value passes your limit.

Which plan suits an agency?

Essentials (US$39 per user a month) covers price tables, the catalogue, payments, tracking, bulk send and Zapier, Make and the API. Business (US$59) adds approvals, content locking, version history and native Pipedrive, Xero and QuickBooks integrations. Enterprise is priced to suit larger groups. Essentials and Business start with a 14-day free trial.
