Getting started with QuoteCloud

Broker fees on their own line, paid on signing

The premium as quoted, your fee and its tax as their own lines, and the fee or premium paid on signing into your own Stripe or PayPal account.

Brokers use QuoteCloud to show the broker fee on its own line with tax, separate from premiums as quoted, and to take a payment on signing through Stripe or PayPal into the brokerage's own account, from the Essentials plan. QuoteCloud doesn't hold client money, run a trust account or arrange premium funding.

A sample recommendation from a fictional brokerage for Lantern Lane Café: an annual premium of $3,745.00 as quoted, a broker fee of $330.00 plus $33.00 tax, a total of $4,108.00 and $363.00 paid on signing, then the co-owner's signature with the broker fee paid through Stripe.

The premium moves, your fee stays on its own line

Try it as Wiremu would on his phone: choose another insurer or tick personal accident, and the premium changes. Your broker fee, the tax on it and the amount paid on signing stay where the client can see them.

Premiums are shown as quoted by each insurer, typed in by your team or sent by your broking system. The fee is your own line, with a note saying what it's for, so it isn't buried in a total.

Three payment settings, chosen per document

Set what the client pays when they sign, recommendation by recommendation. Payments go to the Stripe or PayPal account your brokerage connects.

  • Sign only

No payment on signing. Fits when the insurer collects the premium and you invoice your fee the usual way, like the Nakamuras' home and contents.

  • Broker fee on signing

The client pays your fee and its tax as they sign, a fixed amount set in the document. The premium is paid through your normal process.

  • Fee and premium on signing

The full amount on signing, for brokerages whose own rules allow them to take premiums this way. Check your rules first: QuoteCloud runs no trust account.

What changes when the fee arrives with the signature

The jobs around a broker fee, as most brokerages do them today and once QuoteCloud is in place. No statistics: just where the work goes.

The jobTodayWith QuoteCloud
Showing the fee One total in an email, and a client who asks what the extra $330 is. Its own line with tax and a note on what it covers, beside the premiums as quoted.
Collecting it An invoice after the cover is placed, then follow-up calls. Paid on signing by card or PayPal into your own Stripe or PayPal account.
Recording the agreement The client's yes in an email thread. A signed document with the insurer, covers, fee and payment, and a certificate of authenticity.
Telling accounts Someone retypes the payment into the accounting system. A Zapier Document Payment Event passes it on, or Xero and QuickBooks connect natively on Business.
Premium funding and instalments Arranged with your premium funder or the insurer. Still arranged there: QuoteCloud takes one payment on signing and nothing later.

Paid, recorded, and passed to your accounts

The document history shows the moment the client signed and the fee was paid. A Zapier Document Payment Event can pass the payment to your accounting system or broking system from the Essentials plan.

Xero and QuickBooks Online connect natively on the Business plan, and otherwise through Zapier. Payments go to the Stripe or PayPal account your brokerage connects. Broker fee and payment questions

Can the broker fee be shown separately from the premium?

Yes. Put your broker fee on its own price-table line with tax and a note on what it covers, separate from the premiums you show as quoted by each insurer. When the client chooses another insurer or adds a cover, the premium changes and the fee line stays as you set it. Price tables are on Essentials and up.

Can clients pay the broker fee when they sign?

Yes, from the Essentials plan. Connect Stripe or PayPal and set a payment on signing as a fixed amount, a percentage or the full amount. The client pays by card or PayPal as they sign, into your brokerage's own account, and the payment appears in the document history.

Can we take the premium on signing too?

You can set the payment on signing to the full amount, premium and fee. Payments go to the Stripe or PayPal account your brokerage connects. QuoteCloud doesn't hold client money, run a trust account or arrange premium funding, so check your own rules before taking premiums this way.

Does QuoteCloud do instalments or monthly premium plans?

No. QuoteCloud takes one payment on signing and nothing after it: no instalments, monthly plans, payment reminders or automatic billing. If a client pays by the month, arrange that with the insurer or your premium funder as you do today, and say so in the recommendation's wording.

How does the payment get to our accounting system?

Xero and QuickBooks Online connect natively on the Business plan, and otherwise through Zapier. With Zapier, the Document Payment Event can create a record in your accounting or broking system when the client pays. Zapier is available from the Essentials plan, with a fee per document created through Zapier or the API.
