Getting started with QuoteCloud

Your broking system, connected through Zapier or the API

Create recommendations from your broking system with each insurer's premiums, and send signatures and payments back.

Brokers connect their broking system through Zapier, Make or the QuoteCloud API from the Essentials plan, where the system has a connector or an API: create a recommendation from a template with the client's details and each insurer's premiums as price-table rows, then send signed and paid events back. Xero and QuickBooks are native on Business, otherwise via Zapier.

Three pages of a sample recommendation from a fictional brokerage, taking turns at the front: the cover created from the brokerage's template with the café's details filled in, the comparison table with each insurer's premiums sent in as price-table rows, and the document history showing it opened, signed by both co-owners, the broker fee paid and the broking system updated through Zapier.

What your broking system sends when it creates a recommendation

When an account manager is ready to recommend, your automation creates the document from your recommendation template, fills its data items and adds each insurer's premiums as price-table rows. Nobody retypes a premium.

The template supplies everything else: your cover letter, the comparison layout, the locked disclosure wording and the signing block. The automation never chooses the insurer, ticks an optional cover or picks content blocks; your recommendation is marked in the template and the client makes the choice.

  • Data items: client, business, policy period, expiry
  • Price-table rows: label, note, price, quantity, tax
  • Your broker fee as its own row

Events you can send back to your systems

QuoteCloud's Zapier triggers. Each starts a Zap that updates your broking system, CRM, accounts or a renewals register.

  • Recipient First Viewed Document

Note in the client file that the recommendation has been opened, so nobody chases too early.

  • Recipient Signed Document

Mark the opportunity won and pass the chosen insurer and covers to whoever places the cover.

  • Document Payment Event

Record the broker fee paid on signing in your accounting or broking system.

  • Form Submitted on Document

Save the client's acknowledgement answers from the Forms block (Business) to the client record.

  • Document Status Changed

Move a renewal along your own register as it's sent, accepted or declined.

  • Document Comment Event

Copy a client's question to the account manager's queue so it's answered in the document.

CRM and accounting, connected the right way for each

Xero and QuickBooks Online connect natively on the Business plan, and otherwise through Zapier. HubSpot and Zoho connect through Zapier. Salesforce connects through Zapier or the Salesforce Sync add-on, and Pipedrive connects directly on Business.

Slack and Microsoft Teams can post document updates, comments and actions to the account team's channel. Everything else, including your broking system, goes through Zapier, Make or the API.

Connect your broking system in five steps

The usual order for a brokerage connecting through Zapier; the API and Make follow the same shape.

  1. Check the route

Find out whether your broking system has a Zapier or Make connector, or an API your developer can call.

  2. Ready the template

Add data items and the comparison table to your recommendation template.

  3. Map the fields

Map client, policy period and expiry to data items, and each insurer's premium to a price-table row.

  4. Create a test document

Create one from a sample client, check every figure, then send it to yourself and sign it.

  5. Send events back

Add the Signed, Payment and Form Submitted triggers that update your systems.

Integration questions

Does QuoteCloud integrate with our broking system?

Only through Zapier, Make or the QuoteCloud API, where your broking system has a connector or an API. There is no native broking-system integration, and none is named as integrated. Zapier, Make and the API are on Essentials and up, with a fee per document created through the API or Zapier.

Can our broking system send insurers' premiums into a recommendation?

Yes. When the automation creates a document from your template, it can fill data items and add price-table rows with a label, note, price, quantity and tax, so each insurer's premiums arrive without retyping. QuoteCloud doesn't connect to insurers or rating engines: the premiums come from your system.

Can the automation pick the insurer or tick covers for the client?

No. The automation creates the document and adds rows; it doesn't choose the insurer, tick optional covers or choose content blocks. Your template carries the layout, your recommendation and the wording, and the client makes the choices before signing. Every choice is theirs.

What can be sent back when a client signs or pays?

QuoteCloud's Zapier triggers include Recipient First Viewed Document, Recipient Signed Document, Document Payment Event, Form Submitted on Document, Document Status Changed and Document Comment Event. Each can start a Zap that updates your broking system, CRM, accounting or a renewals register.

Which CRM and accounting systems connect?

Xero and QuickBooks Online are native on the Business plan, and otherwise connect through Zapier. HubSpot and Zoho connect through Zapier, Salesforce through Zapier or the Salesforce Sync add-on, and Pipedrive directly on Business. Your broking system connects only through Zapier, Make or the API.

What does an automated document cost?

Documents created through the API or Zapier cost US$2.00 each for the first 1,000 a month, US$1.80 each from 1,001 to 5,000 and US$1.60 each above that, on top of your plan. No per-document fee is stated for Make. API, Zapier and Make are on Essentials and up.
