Your disclosure wording, acknowledged and signed
Locked company wording account managers can't change, acknowledgement fields the client ticks before signing, and a signing block for each signer.

Brokers use QuoteCloud to keep their own disclosure wording in a locked company block (Business), collect the client's acknowledgement as Forms block fields inside the document (Business), and get every signer's legally binding eSignature with a certificate of authenticity. The wording is the brokerage's own: QuoteCloud makes no compliance claims and gives no advice.
A sample recommendation from a fictional brokerage open in a tablet's signing view: the brokerage's locked disclosure wording, two acknowledgement fields ticked by the client, then Lena Moretti draws her signature in person and the button turns to Signed.

02 Locked block
Your wording, word for word
Who you act for, how you're paid and how to complain: whatever your licence asks you to tell clients, in your own words. It's a locked company block, so it reads the same in every recommendation.

04 Every signer
Both partners sign, each in their own block
Each signer gets their own link and signing block, without a QuoteCloud account. The certificate of authenticity and audit trail record who signed and when.

Co-owners, partners, directors, a whole committee
Add every person who needs to sign. Each gets their own signing block, and the document shows who has signed and who hasn't, like the Calloway Apartments' renewal: the secretary has signed and the treasurer's block is still waiting.
Signers don't need an account. Turn on a one-time passcode by email when you want each signer to confirm their address before signing, or sign in person on your own device when a client is in the office.

What changed this year
- Building sum insured follows the committee's 2026 valuation: $18.4m to $19.2m.
- Marrowbank Mutual is renewing on the same terms and excesses as last year.
- We also asked two other insurers; their terms are in the appendix.
GHGraham HoltCan we see the other two quotes before the AGM?
TILeilani, TallowmereYes, they're in the appendix, side by side. I'll walk the committee through them on Thursday.
What's yours, and what QuoteCloud records
Clear lines, so nobody mistakes the software for your compliance process.
Your wording
The disclosure text is written and approved by your brokerage. QuoteCloud places it, locks it and sends it; it doesn't check it against any rule.
Your acknowledgement questions
You decide what the client confirms, in a Forms block inside the document (Business). QuoteCloud requires the fields before signing and keeps the answers.
What QuoteCloud records
Each signature with its date and time, the certificate of authenticity and the audit trail, plus opens and comments while the document was with the client.
What it doesn't do
No advice, no compliance sign-off and no identity checks beyond the optional email passcode. Whether a document meets your licence's disclosure obligations is your call.
Put your disclosure wording in a locked block
Free for 14 days, no credit card required. Try the Business plan to lock your wording and add the acknowledgement as a Forms block.
Written once by compliance, used in every recommendation
The brokerage's content library holds the approved blocks. Account managers build each recommendation from it, and the locked ones arrive exactly as written.

Locked where it matters
Account managers can add and edit their own parts, but not the locked wording.
Content locking: Business
Change it once
When compliance updates the wording, the library block changes and new recommendations use the new text.
Shared by role
Custom user roles and teams decide who can edit the library and who only uses it.
Essentials and up
Set up your disclosure and acknowledgement once
What a compliance lead does in the first week, so every account manager sends the same agreement section.
- 1
Write the wording
Your compliance lead writes or pastes the disclosure text the brokerage already uses.
- 2
Save and lock it
Save it to the content library as a company block and lock it (Business).
- 3
Add the acknowledgement
Add a Forms block with the statements the client must tick before signing.
- 4
Put both in the template
Place them before the signing block in your recommendation template.
- 5
Add signers per document
Each account manager adds the client's signers when they send; the certificate records them all.
Disclosure and signing questions
Can we put our own disclosure wording in every recommendation?
Yes. Save your wording as a company block in the content library and lock it, so account managers can use it but can't change it. Content locking is on the Business plan. The wording is your brokerage's own: QuoteCloud places and sends it, and doesn't check it against your licence's disclosure obligations.
How does the client acknowledge the duty of disclosure?
Add a Forms block inside the recommendation with the statements you want the client to confirm, such as having read your information and answered the insurer's questions honestly. The fields are required before signing, and the answers stay with the signed document. The Forms block is on the Business plan.
Can several people sign one recommendation?
Yes. Add every signer, such as co-owners, partners, directors or an owners' association committee's secretary and treasurer. Each gets their own link and signing block, and the document shows who has signed. QuoteCloud doesn't set a signing order, so signers can sign in any order. eSignatures are on every plan.
How do we know who signed?
Every signature is recorded with its date and time, and the signed document comes with a certificate of authenticity and an audit trail. You can also ask each signer to enter a one-time passcode sent to their email before signing. QuoteCloud does no other identity checks.
Is a QuoteCloud eSignature legally binding?
QuoteCloud eSignatures are legally binding electronic signatures, and signers don't need a QuoteCloud account. Whether a particular document and process suit your obligations is a question for your brokerage and its advisers: QuoteCloud gives no legal advice. Each signature still comes with a certificate of authenticity.
Can a client sign in the office?
Yes. Open the document on your own device and the client signs there in person, with their acknowledgement ticked first. It's recorded in the certificate the same way as a signature made from a link, so in-person and remote signers can sign the same document.
