A typical QuoteCloud rollout for a brokerage: convert the recommendation and renewal templates (one free during the trial), lock the disclosure wording (Business), set the broker fee line and payment on signing, connect Stripe or PayPal, plan the renewal routine, connect the broking system through Zapier, Make or the API, and train account managers in the 45-minute session.
A sample fleet recommendation cover from a fictional brokerage behind a rollout checklist whose items tick off one by one: template converted, disclosure wording locked, broker fee and payment setting, Stripe connected, renewal routine, broking system connected through Zapier, account managers trained, ending with the fleet recommendation's approval over $20,000 approved by a director.

Six steps from trial to every account manager sending
A sample plan for a fictional 12-person brokerage. Each phase says what you bring, what QuoteCloud gives you and how you know it's done.
-
Phase 1, Week 1
Convert your recommendation template
- You bring
- Your current recommendation and renewal letter, in Word or PDF.
- QuoteCloud gives you
- One template converted free during the trial (Essentials, Business, Enterprise); more as professional services.
- Done when
- An account manager can start a branded recommendation with insurers side by side.
-
Phase 2, Week 1
Lock your disclosure wording
- You bring
- The wording your compliance lead has approved, and the statements clients acknowledge.
- QuoteCloud gives you
- A locked company block in the content library and a Forms block for the acknowledgement.
- Done when
- Every recommendation carries the same wording, and account managers can't edit it.

Phase 3, Week 2
Set the broker fee and payments
- You bring
- Your fee policy and your brokerage's Stripe or PayPal account.
- QuoteCloud gives you
- A fee line with tax in the template and a payment on signing per document: none, the fee, or the full amount.
- Done when
- A test recommendation is signed and the fee lands in your own account.
Payments: Essentials and up
Broker fees & payments -
Phase 4, Week 2
Connect the broking system
- You bring
- Your broking system's Zapier or Make connector, or its API, and the fields to move.
- QuoteCloud gives you
- Documents created from the template with premiums as rows, and signed and paid events sent back.
- Done when
- A test client goes in from the broking system and the signature comes back.
-
Phase 5, Week 3
Plan the renewal routine
- You bring
- Next month's renewals and who handles them.
- QuoteCloud gives you
- Expiry dates on documents, the Expiring Soon filter, Revise Last Version and bulk send (Essentials and up).
- Done when
- Next month's renewals are listed, and the simple ones are ready to bulk send.
-
Phase 6, Week 4
Train the team and go live
- You bring
- Every account manager, plus a director for approvals.
- QuoteCloud gives you
- A 45-minute training session on paid plans; extra sessions as a paid add-on.
- Done when
- Every account manager sends from the template, and large accounts go to a director first.
Sample planning, not a promise: your timing depends on your templates, your wording and your broking system.

Large accounts reach a director before they're sent
Set an approval rule on total value, such as recommendations over $20,000, and the document goes In Review to a director before an account manager can send it. Rules can also trigger on a discount percentage.
Bramblewood Couriers' fleet recommendation went to Helen, the director, at 2:10 pm and was approved at 3:42 pm, with the log kept on the document.
- Triggers: total value or discount percentage
- In Review until an approver decides
- The approval log stays with the document

What a rollout doesn't include
Implementation sets QuoteCloud up around how your brokerage already works. A few things stay outside it, and it's better to know now.
- No compliance sign-off: your wording and process are your brokerage's own, and QuoteCloud makes no compliance claims.
- No insurer or rating connections: premiums are typed in or sent from your broking system through the API.
- No premium funding, instalments or trust accounts: payments on signing go to your own Stripe or PayPal account.
- No guaranteed go-live date: the timings above are sample planning.
Implementation questions
How long does it take a brokerage to start using QuoteCloud?
A small brokerage can send its first recommendation in the trial. A typical rollout, with the recommendation and renewal templates, locked wording, fee and payment settings, a broking-system connection and training, can take a few weeks. That's sample planning, not a promise: it depends on your templates and systems.
What help does QuoteCloud give during set-up?
During the trial QuoteCloud converts one of your existing templates for free on Essentials, Business and Enterprise, and paid plans include a 45-minute training session. Professional services cover extra conversions, training and integration set-up, and premium support is a paid add-on.
Which plan does a brokerage need?
Essentials covers price tables, templates, the content library, payments on signing, Zapier, Make and the API, bulk send and expiry dates. Business adds locked content, the Forms block for acknowledgements, approval workflows, version history and native accounting and CRM integrations. eSignatures are on every plan.
Can a director approve large recommendations before they're sent?
Yes, on the Business plan. An approval rule on total value, such as over $20,000, or on a discount percentage puts the document In Review until an approver decides, and the approval log stays with the document. Account managers can't send it until it's approved.
Does QuoteCloud sign off our compliance set-up?
No. QuoteCloud helps you place, lock and send your own wording and records every acknowledgement and signature, but it makes no compliance claims and gives no advice. Your compliance lead decides the wording and the process. Lock the approved wording (Business) so it can't drift.
