Getting started with QuoteCloud

Renewal packs out before every policy falls due

See what's expiring, revise last year's pack with this year's terms, and bulk send renewals to every client due next month.

Brokers use QuoteCloud to run renewals: an expiry date on every recommendation and the Expiring Soon filter, Revise Last Version to re-quote last year's pack as a new version, last year beside this year, and bulk send of one renewal template as personal copies (Essentials and up, volume-based costs). Nothing renews by itself.

A sample documents list from a fictional brokerage on the Expiring Soon filter: five policies and recommendations expiring in the next 45 days, the trade insurance and fleet renewal due in 10 days marked in red, then the home and contents, the café's business pack and the apartment building insurance renewal.

A month of renewals, from the list to the last signature

Maya, Tallowmere's renewals coordinator, runs the personal lines policies ending in December. This is the brokerage's own routine, with the QuoteCloud feature used at each step.

Your brokerage's process, drawn by us. QuoteCloud shows expiry dates, sends what you choose and records each signature. It sends no renewal reminders, re-quotes nothing with insurers and never renews a policy automatically.

One renewal template, 146 personal copies

For a book of similar policies, write the renewal letter once as a template, with data items for each client's name, policy and renewal terms. Bulk send it to the list, and each client gets their own copy to read, comment on and sign.

The bulk send shows every recipient's status, so the morning after a send Maya can see who opened, who accepted and who asked a question, and call the ones who haven't looked.

Last year beside this year, for the renewals that need a conversation

An apartment building, a fleet or a business with a changed risk deserves more than a letter. Revise last year's recommendation as a new version, put this year's limits and premiums beside last year's, and explain each change in your notes.

The Calloway Apartments' committee can see the building premium rose because the sum insured followed the new valuation, ask about the other quotes in a comment, and sign: secretary and treasurer each in their own block.

  • Revise Last Version: a new version, last year's kept
  • Change per cover in dollars, and in total by per cent
  • Your notes and the client's comments in one place

The building premium rises mainly because the sum insured follows the new valuation. Your broker's notes explain each change.

What changed this year

  • Building sum insured follows the committee's 2026 valuation: $18.4m to $19.2m.
  • Marrowbank Mutual is renewing on the same terms and excesses as last year.
  • We also asked two other insurers; their terms are in the appendix.

Graham HoltCan we see the other two quotes before the AGM?

Leilani, TallowmereYes, they're in the appendix, side by side. I'll walk the committee through them on Thursday.

The jobTodayWith QuoteCloud
Knowing what's due A report from the broking system and a spreadsheet of who's been contacted. Expiry dates on every document and the Expiring Soon filter, beside what was sent and signed.
Simple renewals Hundreds of near-identical letters, merged and emailed one by one. One renewal template bulk sent as personal copies, with each client's details as data items.
Complex renewals Last year's PDF rebuilt by hand with this year's figures. Revise Last Version, with last year beside this year and your notes on each change.
Following up Calling everyone, because nobody knows who has read the letter. Opened, accepted and commented per client: call the ones who haven't opened it.
Large accounts A director reads the renewal after it has gone out. An approval rule on total value sends it to a director first (Business).

No auto-renewal

Nothing renews by itself, and that's the point

QuoteCloud shows what's due and sends what you choose. Every renewal is a document your client reads, questions and signs, and your team places the cover with the insurer.

Renewal questions

How do we see which policies are coming up for renewal?

Give every recommendation and renewal pack an expiry date, such as the day the current policy ends. The Expiring Soon filter on the documents list then shows what's reaching its expiry date, beside each document's status. Expiry dates and the filter are on Essentials and up.

Can we send renewal letters to many clients at once?

Yes. Bulk send one renewal template to a list of clients, and each gets a personal copy with their own details as data items. You see sent, opened and accepted for each recipient. Bulk send is on Essentials and up, with volume-based costs.

How do we re-quote last year's recommendation?

Use Revise Last Version to start this year's document from last year's, as a new version, then update the insurer's terms and premiums and set last year beside this year so the client sees what changed. Version history, which keeps every earlier version, is on the Business plan.

Does QuoteCloud renew policies automatically?

No. QuoteCloud never renews a policy, re-quotes with an insurer or sends renewal reminders by itself. It shows what's due, sends the documents your team prepares and records each signature. Your team places the renewed cover with the insurer, as today.

Can large renewals be checked before they go out?

Yes, on the Business plan. An approval workflow can send any document over a total value you set, such as $25,000, to a director for review before it can be sent. Approval triggers are a discount percentage or a total value.
