Getting started with QuoteCloud

QuoteCloud implementation for plumbing businesses

Your price book loaded, your quote, drain report and agreement templates converted, payments connected and every plumber trained.

A plumbing business implements QuoteCloud in a few steps: import the price book from a CSV, convert the quote, drain report, emergency and maintenance templates (one free during the trial), connect Stripe or PayPal, set up Zapier to your job system, and train the team. Onboarding and professional services can do it for you.

A tablet in a fictional plumber's hands showing the signing view of a CCTV drain inspection report, WP-D-3051, from Weirbrook Plumbing & Gas: the recommended works with three ticked, tax, the total of $5,962.00 and a 30% deposit. The page scrolls, Ingrid Larsen signs in the sign bar and the button turns to Signed. Two notes float beside it: price book loaded, from your CSV with costs hidden; and deposit on signing, with Stripe connected.

Six steps from trial to the first job signed on site

A sample plan for a fictional plumbing business with eight plumbers, a drainer and an office. Each phase says what you bring, what QuoteCloud gives you and how you know it's done.

  1. Phase 1, Week 1

Convert your quote and report templates

    You bring
Your current job quote, drain report, emergency authority and maintenance agreement, as Word or PDF.
    QuoteCloud gives you
One template converted free during the trial (Essentials, Business, Enterprise); more conversions as a paid add-on.
    Done when
Every plumber can start a branded quote from the template.
  2. Phase 2, Week 1

    Load the price book

    You bring
Your parts and labour list as a CSV: SKUs, names, categories, units, sell prices and costs.
    QuoteCloud gives you
CSV import with column mapping and validation; costs and margins kept from customers.
    Done when
Every labour rate, unit and fitting your team quotes is a catalogue product.

    Product catalogue: Essentials and up

    Price book and labour rates
  3. Phase 3, Week 2

    Connect payments

    You bring
Your Stripe or PayPal account and how you take money: a deposit as a percentage or fixed amount, or the call-out fee in full.
    QuoteCloud gives you
Payment on signing through Stripe or PayPal, set on each template or document.
    Done when
A test quote takes a deposit, and the emergency template takes the call-out fee.

    Payments: Essentials and up

    Emergency call-outs
  4. Phase 4, Week 2

Hand off to your job system and accounts

    You bring
Your job app (ServiceM8, simPRO or another) and Xero or QuickBooks Online.
    QuoteCloud gives you
Zapier, Make and the API on Essentials (document creation fees apply to documents created through the API or Zapier); Xero and QuickBooks native on Business.
    Done when
A signed quote reaches your job app without anyone retyping it.
  5. Phase 5, Week 3

    Set roles, teams and approvals

    You bring
Who quotes, who approves, and your discount limit.
    QuoteCloud gives you
Custom roles and teams (Essentials and up); approvals on discount or total value, and locked terms (Business).
    Done when
A discount over your limit goes to the owner before it can be sent.
  6. Phase 6, Week 3

Train the team and go live on the tablet

    You bring
Your plumbers, drainer and office, and a tablet in each van.
    QuoteCloud gives you
A 45-minute training session on paid plans; extra 60-minute sessions as a paid add-on.
    Done when
The first quote is signed on site and the deposit is paid.

Sample planning, not a promise: your timing depends on your templates, your price book and your job system.

Your price book in, column by column

Export the parts and labour list you already keep, map each column to a catalogue field and import it. Validation catches the rows with a missing category or price before anything goes live.

Weirbrook's October import updated 586 items and marked 9 superseded units Inactive. The costs and margins in the last two columns are for the team only.

  • Column mapping: part number to SKU, trade price to cost
  • Validation before import
  • Active, Draft and Inactive products
  • Costs and margins never reach the customer

What changes for each person in the business

The value of the implementation, role by role. No new jobs for anyone: the same work, without the retyping and chasing.

The jobTodayWith QuoteCloud
The owner Checks every big quote by hand and wonders who discounted what. One price book, locked terms, and approvals on discounts or large totals (Business).
The plumber on site Writes it up at night and hopes the customer replies. Builds the quote from the template on the tablet and gets it signed before leaving.
The drainer Emails a PDF report and a separate quote. One drain report with marked-up frames and works the owner ticks.
The office Retypes signed quotes into the job app and chases deposits. Deposits paid on signing; signed work reaches the job app through Zapier.
Apartment building accounts Renewals by spreadsheet and memory. Agreements with expiry dates, the Expiring Soon filter and bulk-sent renewals.
After hours A verbal OK at 10 pm and a disputed bill later. The authority to proceed signed on the tablet, call-out fee paid.

Day one: a drain report signed and handed off

The test of the rollout is the first real job. Tama's drain report for Ingrid Larsen came from the converted template, its works from the imported price book.

Ingrid signed on the tablet and paid the deposit through Stripe, and the Zap created the job in Weirbrook's job app. Nobody retyped anything.

  • Template, price book, payments and Zapier in one job

Implementation questions, answered

How long does it take a plumbing business to set up QuoteCloud?

It depends on how many templates you need, the size of your price book and whether you connect a job system. The plan on this page is a sample spread over three weeks, not a promise. You can send your first real quote during the 14-day trial.

Will you convert our existing plumbing quote template?

Yes. On an Essentials, Business or Enterprise trial, QuoteCloud converts one of your existing templates for free, such as your job quote or drain report. More conversions are available as a paid professional service.

Can we import our price book?

Yes. Export your parts and labour list as a CSV and import it into the product catalogue, mapping each column to a field. Validation flags problem rows first. The product catalogue is on Essentials and up.

Is training included?

Paid plans include a 45-minute training session. Extra 60-minute sessions are available as a paid add-on, and Enterprise includes implementation support and a dedicated account manager.

Can someone set QuoteCloud up for us?

Yes. Onboarding services cover the free template conversion and training; professional services cover more conversions, training and help setting up Zapier, the API and other connections. Ask us for prices.

Can plumbers use it on site?

Yes. Plumbers build and send documents in QuoteCloud on a tablet, and customers can sign in person on the plumber's device with a legally binding eSignature, then pay the deposit or call-out fee there and then.
