Getting started with QuoteCloud

Signed plumbing quotes into your job system and accounts

When a quote is signed or paid, a Zap or the API can pass it to ServiceM8, simPRO or your own job system, and to Xero or QuickBooks.

QuoteCloud doesn't schedule or dispatch plumbing jobs; it connects to the systems that do. ServiceM8 and simPRO connect through Zapier, other job management systems through Zapier, Make or the API where they have a connector, and Xero or QuickBooks Online natively on Business or through Zapier.

Two sample documents from a fictional business, Weirbrook Plumbing & Gas. Behind: the activity of a CCTV drain inspection report, WP-D-3051: opened by Ingrid Larsen on the tablet, the boundary opening ticked, signed on site, the $1,788.60 deposit paid via Stripe, and the job created in the plumber's job management app through Zapier. In front: the signature on a hot water quote, WP-2214, signed by Leah Odell with the deposit paid.

Which route each system takes

QuoteCloud doesn't schedule, dispatch or invoice plumbing jobs. It hands the signed quote to the systems that do, by one of these routes.

  • ServiceM8

Through Zapier, on Essentials and up. A signed quote or a paid deposit starts a Zap that passes the details to ServiceM8.

  • simPRO

Through Zapier, on Essentials and up, using the actions simPRO offers there. See simPRO with QuoteCloud.

  • Your other job system

Through Zapier, Make or the QuoteCloud API, where your system has a connector or an API of its own.

  • Xero

Native on the Business plan, otherwise through Zapier. See Xero with QuoteCloud.

  • QuickBooks Online

Native on the Business plan, otherwise through Zapier. See QuickBooks Online with QuoteCloud.

  • Google Calendar and Sheets

Through Zapier: a signed job as a calendar event (one way, from QuoteCloud) or a row in your won-work register.

One illustrative Zap, from signature to job

An example only: the steps your Zap can take depend on the actions your job app and accounts offer on Zapier.

  1. Signed Document

QuoteCloud's Zapier trigger fires when Ingrid signs the drain report.

  2. Find the client

Find or create Ingrid in your job app, with an action that app offers.

  3. Create the job

Map the document details you choose into a new job.

  4. Attach the PDF

Generate PDF Link adds the signed report to the job.

  5. Payment Event

When the deposit is paid, record it in Xero or QuickBooks.

The signed works are what your job app receives

Ingrid ticked three of the five recommended works, signed on Tama's tablet and paid a 30% deposit. That signed document, with its ticked items, total and deposit, is what the hand-off starts from.

QuoteCloud creates no work orders and no invoices. The job card, the booking and the invoice for the balance belong to your job management system and your accounts, as they do now.

  • Triggers: Signed Document, Document Payment Event, Status Changed
  • Action: Generate PDF Link for the signed copy
  • Document creation fees apply only to documents created through the API or Zapier

What stops being retyped

Your office still runs jobs in the job app and money in the accounts. The signed quote just gets there on its own route.

The jobTodayWith QuoteCloud
Creating the job Yasmin retypes the client, address and works from the signed PDF. A Zap creates the job from the signed document, with the fields you map.
The signed copy Downloaded, renamed and attached by hand. Generate PDF Link adds the signed copy to the job.
The deposit A bank transfer matched against a phone call. Paid on signing through Stripe or PayPal; a Payment Event can tell your accounts.
The booking Someone notices the job and pencils it in. A one-way calendar event or a job in your app, through Zapier. The booking is still yours.
Won-work register A spreadsheet updated on Fridays. A Google Sheets row for each signed quote, through Zapier.

What stays in your job system and accounts

QuoteCloud is where the quote is written, chosen, signed and paid on. These stay where they are.

  • Scheduling and dispatch

Booking plumbers, dispatch and the job board stay in your job management system.

  • Work orders and job cards

QuoteCloud creates no work orders. The signed quote is what your job card is built from.

  • Invoices

The balance, progress invoices and repeating charges are invoiced from your accounts or job app.

  • Vans, GPS and timesheets

No van tracking, GPS or timesheets in QuoteCloud.

  • Certificates and compliance

Your own certificates and lodgements, attached to documents as PDFs if you like.

  • Two-way updates

Routes run from QuoteCloud outwards. Nothing is synced back unless your own Zap or API code does it.

Integration questions, answered

Does QuoteCloud integrate with ServiceM8?

Yes, through Zapier, on Essentials and up. A QuoteCloud trigger such as Signed Document or Document Payment Event starts a Zap, and the Zap uses the actions ServiceM8 offers on Zapier, for example to create the client or the job. It isn't a direct or two-way integration.

Does QuoteCloud integrate with simPRO?

Yes, through Zapier, on Essentials and up. A signed or paid QuoteCloud document starts a Zap that passes its details to simPRO, using the actions simPRO offers on Zapier.

Will QuoteCloud work with my job management system?

If your system has a Zapier or Make connector, or an API, QuoteCloud can reach it through Zapier, Make or the QuoteCloud API on Essentials and up. What the connection can do depends on what your system offers. Documents created through the API or Zapier carry a per-document fee.

Does QuoteCloud connect to Xero and QuickBooks?

Yes. Xero and QuickBooks Online are native integrations on the Business plan; on other paid plans they connect through Zapier. Either way, routes run from QuoteCloud to your accounts; it isn't a two-way sync.

Does QuoteCloud create work orders or invoices?

No. QuoteCloud quotes, gets the work signed and takes a deposit or full payment on signing if you set one. Work orders, job cards and invoices for the balance come from your job management system or your accounts.

Can QuoteCloud schedule or dispatch plumbing jobs?

No. There's no scheduling, dispatch, van tracking or timesheets in QuoteCloud. Keep them in your job management system and use Zapier or the API to get signed work there without retyping.

Can a signed job go into Google Calendar?

Yes, through Zapier and one way: a signed QuoteCloud document can create a Google Calendar event. Changes in the calendar don't flow back into QuoteCloud.
