Getting started with QuoteCloud

Hot water replacement quotes with every option side by side

Gas, heat pump and solar as one choice, your running-cost estimate beside each, and the price, extras and deposit following the choice.

With QuoteCloud a hot water specialist puts each replacement system in one quote as a single-choice option that sets the price, adds their own running-cost estimate for the household as labelled content, lists installation and extras, and the customer chooses, signs and pays a deposit to book the install.

Three replacement hot water systems from a fictional business's quote, WP-2214, drawn side by side with their prices and, under each, a bar of the plumber's own yearly running-cost estimate against the current unit's $1,180 a year: gas continuous flow $2,980 + tax, about $640 a year; heat pump $4,360 + tax, about $310 a year; solar with gas boost $5,940 + tax, about $260 a year. Each is weighed in turn, then the heat pump is chosen: $6,498.80 including installation, the safe tray and tax, with the $1,299.76 deposit paid. Every running-cost figure is labelled as the plumber's estimate.

Choose a system and the whole quote follows

The Odells' quote, as they read it. Gas continuous flow, heat pump and solar sit in one single-choice group: pick one and the system line in the price table changes, the installation stays, and the total and the deposit to book update.

Your running-cost estimate sits between them, labelled as yours, with the basis written out: the household, the hot water they use and the rates on their bills. The chosen system's row is highlighted so the price and the bills are read together.

Leah asked about running the heat pump on their solar; Grant answered in the comments. Then she signed and paid the deposit.

Worked on this page from Weirbrook's own estimates, to show the idea. In QuoteCloud you type your running-cost estimate and its basis into the quote as content: QuoteCloud doesn't calculate running costs, savings, payback or rebates. Extras are left out because they're the same whichever system is chosen.

What to put beside the price

What helps a household decide on the day, and how each part sits in a QuoteCloud hot water quote.

  • Your estimate, and its basis

Running costs typed as content and labelled as your estimate, with the household and rates you assumed.

  • Rebates: yours to explain

Say whether any rebate might apply and that the customer should check it. QuoteCloud doesn't calculate or claim one.

  • Spec sheets and warranties

Attach the manufacturer's spec sheet and your warranty as PDF blocks (Starter and up).

  • Discounts go for approval

A discount over your limit sends the quote to the owner before it goes out (approval workflow, Business).

  • One template, every system you stock

Any plumber can quote a replacement on the day from the same template and price book.

  • Wording written once

The running-cost basis and rebate note live in your content library, so every quote says it the same way.

Questions plumbers ask

Can a customer choose between gas, heat pump and solar in one quote?

Yes. Put the systems in a single-choice group in the price table, each with its price. The customer picks one and the system line, the total and the deposit update. Installation lines stay the same and extras can be optional rows they tick.

Does QuoteCloud calculate running costs or savings?

No. Running costs, savings and payback are your own estimates, typed into the quote as content and labelled as yours, with the basis you used. QuoteCloud doesn't calculate energy use, running costs, savings or rebates, and it doesn't claim any of them.

Can I attach spec sheets and warranties?

Yes. Add the manufacturer's spec sheet and your warranty as PDF blocks inside the quote (Starter and up), so the customer reads them before signing. The whole document can also be exported as a PDF.

Can the customer pay a deposit to book the install?

Yes. Set a deposit as a percentage or a fixed amount, or ask for full payment. The customer pays through Stripe or PayPal straight after signing. Payments are on Essentials and up and need a connected Stripe or PayPal account.

Can a discount need the owner's approval?

Yes, on the Business plan. An approval rule triggered by a discount percentage or a total value puts the quote In Review, and it can't be sent until the approver approves it.
