Getting started with QuoteCloud

Emergency call-outs authorised and paid for on your tablet

What you found, what the customer authorises, the rates and a spending limit, signed on site with the call-out fee paid there and then.

24/7 plumbers use QuoteCloud for the authority to proceed on an emergency call-out: a template opened on the tablet on site with what was found, the work authorised, after-hours rates and a spending limit. The customer signs in person and pays the call-out fee, a deposit or the full amount through Stripe or PayPal on signing.

One fictional after-hours job on a Sunday night: at 9:15 pm Ben calls about water coming through the laundry wall, at 9:40 pm the plumber arrives, at 9:44 pm the water is turned off at the meter, at 9:47 pm the emergency authority to proceed is opened on the plumber's tablet, and at 9:52 pm Ben signs it in person and pays the $214.50 call-out fee via Stripe. The tablet shows what was found, the three pieces of work authorised and the $900 + tax limit.

The authority to proceed, on your tablet

At 9:47 on a Sunday night Josh opens the emergency template on his tablet. What he found and what he's isolated go at the top, then the work Ben authorises, what isn't included, the after-hours rates and a limit Josh won't go over without asking.

Ben signs on the tablet, in person, and pays the call-out fee there and then. The rest of the night's work comes to him as Weirbrook's own invoice after the job, at the rates he's just signed.

Call-out fee, deposit or account: your choice per template

Set up one emergency template for each way you charge after hours.

  • Call-out fee, paid in full

The call-out is the price table and it's paid in full on signing. The repair is your invoice afterwards.

  • A deposit on a bigger job

When the fix is clear, price it and take a deposit as a percentage or fixed amount on signing.

  • Account customers

Apartment and commercial accounts sign the authority with no payment; you invoice them as agreed.

  • A limit in writing

The customer authorises work up to an amount. Past it, you stop and ask.

  • Rates they've seen

After-hours rates on the page they sign, before any work starts.

  • The same template on every tablet

Locked wording so the on-call plumber never negotiates terms on the doorstep (content locking, Business).

One emergency call, from phone to invoice

Weirbrook's own after-hours process for Ben's burst pipe. QuoteCloud is used at two points: the authority and the payment.

  1. 9:15 pm

    The call

Ben rings the after-hours number. Your phone, your roster: QuoteCloud isn't involved yet.

  2. 9:40 pm

    On site

Josh arrives and isolates the water. No dispatch or tracking in QuoteCloud: this is your own process.

  3. 9:47 pm

    Authorise

The emergency template opens on the tablet with what was found, the work, the rates and the limit.

    Signing in person
  4. 9:52 pm

    Pay the call-out

Ben pays the call-out fee by card straight after signing.

    Payment on signing
  5. 11:10 pm

    Repair

Josh replaces the copper section, pressure-tests and restores the water, inside the limit.

  6. Monday

    Invoice the balance

The office sends Weirbrook's invoice for the rest of the night's work from its accounts system.

QuoteCloud doesn't answer calls, dispatch, track vans or invoice the balance, and it sends no payment reminders.

What the office sees on Monday morning

Every authority signed over the weekend is in QuoteCloud with its activity: created on site, signed on the tablet with the certificate of authenticity, the call-out fee paid.

If you set it up, a Zapier step on the Document Payment Event can pass the payment to your accounts system. That step is illustrative: it's your own Zap, built for how your books work.

  • Activity for every signed authority
  • Certificate of authenticity attached
  • Zapier payment trigger, if you want it

Set up your emergency authority in five steps

Do it once, before the next 10 pm call.

  1. Write the authority

What's found, the work authorised, what isn't included and your rates.

  2. Set the limit

Add a spending limit and what happens if the job will go over.

  3. Add the call-out fee

Make it the price table and ask for full payment on signing.

  4. Connect Stripe or PayPal

So the fee is paid the moment the customer signs.

  5. Put it on every tablet

Your on-call plumbers open it on site and hand over the tablet.

Questions plumbers ask

Can a customer sign on my tablet at an emergency job?

Yes. Signing in person on your own device is supported: open the authority on your tablet and hand it over. The customer doesn't need an account, the signature is legally binding, and the signed document carries a certificate of authenticity and an audit trail.

Can the call-out fee be paid when they sign?

Yes. Put the call-out fee in the price table and ask for full payment on signing, or a deposit as a percentage or fixed amount. The customer pays through Stripe or PayPal straight after signing. Payments are on Essentials and up.

Does QuoteCloud invoice the rest of the job?

No. QuoteCloud takes the payment on signing only. The balance is your own invoice from your accounting system, and QuoteCloud doesn't send payment reminders. A Zapier step can pass the payment event to your accounts if you set one up.

Does QuoteCloud dispatch plumbers or track vans?

No. QuoteCloud has no dispatch, GPS, scheduling or call answering. It handles the document: the authority to proceed, the signature and the payment. Your job management system or your own process does the rest.

Can I set a spending limit in the authority?

Yes, as content in your template: the amount the customer authorises and what happens if the repair will go over it. QuoteCloud doesn't enforce the limit; it's the agreement your plumber works to, signed before the work starts.
