Getting started with QuoteCloud

Your plumbing price book, in every quote

Fittings, fixtures, kits and labour rates in one product catalogue, imported from a spreadsheet, with costs and margins your customers never see.

Plumbing businesses load their price book into QuoteCloud's product catalogue: SKUs, categories, sell price and cost with margin, units and status, imported from a CSV with column mapping and validation. Plumbers search it from inside the quote, and the cost and margin stay hidden from the customer.

The product catalogue of a fictional business, Weirbrook Plumbing & Gas, as its team sees it, after importing price-book-october.csv (586 items updated, 9 marked inactive). Eight products with SKU, category, sell price, unit, cost, margin and status: plumber and apprentice $145 per hour (cost $78, 46%), after-hours call-out $195 (cost $96, 51%), heat pump 270 L $4,360 (cost $2,890, 34%), gas continuous flow 26 L/min $2,980 (cost $1,840, 38%), tempering valve $210, inspection opening $480, a gas bayonet still in Draft, and a superseded 250 L electric unit marked Inactive.

What goes in a plumbing price book

Everything your team quotes, priced once: labour, parts, fixtures and units, each with its SKU, category, unit, sell price and your cost.

  • Labour rates

Plumber and apprentice by the hour, the after-hours call-out and each further half hour, so every plumber charges the same rate.

  • Hot water units

Each system with its sell price and your cost. Superseded models are marked Inactive, so nobody quotes them by mistake.

  • Fittings and fixtures

Tempering valves, mixers, pans and isolation valves, sorted by category and subcategory.

  • Drainage

Inspection openings, relines and junction repairs, priced by the job or by the metre for your drain reports.

  • Gas

Bayonets, gas lines and appliance installs. A new item stays in Draft until its price is checked.

  • Kits

A standard toilet or hot water swap saved in the content library as a price table, parts and labour together, ready to drop into any quote.

From the price book into the quote, cost left behind

Building the Odells' hot water quote, Yasmin searches the catalogue from inside the price table and adds the heat pump, the install labour and the fittings in one go. Each line arrives with its name, note, unit and price, and she can still edit the details for this job.

The cost and the margin come along for your team only. The Odells see what they're buying, the extras to tick and the deposit to book the install; they never see what the heat pump cost Weirbrook.

  • Search and category filter inside the quote
  • Several products added in one action
  • Costs and margins hidden from the customer

Your margin stays yours

Sell price $4,360, cost $2,890. The margin is worked out in the catalogue for your team, and the customer's copy of the quote never shows it.

When supplier prices move: update the price book in five steps

Prices don't update themselves. This is how a plumbing office keeps one list everyone quotes from.

  1. Update your sheet

Put your suppliers' new prices and your costs into the spreadsheet you already keep.

  2. Export a CSV

Save it as a CSV with SKU, name, category, unit, price and cost columns.

  3. Map the columns

Import it and match each column to a catalogue field.

  4. Fix and import

Validation flags rows with missing or wrong values before anything changes.

  5. Retire the old

Mark superseded items Inactive; new quotes use the updated list.

A discount over 10% waits for Grant

Yasmin added a 12% seniors discount to the Odells' quote. Weirbrook's approval rule says any discount over 10% needs the owner, so the quote went to Grant as In Review and can't be sent until he approves it.

The same workflow can trigger on total value, so large apartment-building and renovation work gets a second look before it leaves the office.

  • Triggered by discount % or total value
  • Can't be sent until approved
  • A log of who changed what

What the price book doesn't do

QuoteCloud's product catalogue is your own price list, kept and imported by you. It is not a supplier system, so you won't find merchant price feeds or stock levels in it.

If your job management system holds your price list, keep it as the source and export a CSV from it when prices change. The product catalogue page covers every field.

  • No supplier or merchant price feeds: prices change when you import
  • No stock levels or van inventory
  • Tiered or volume pricing rules aren't part of this setup

Price book questions, answered

Can I import my plumbing price list from a spreadsheet?

Yes. Save it as a CSV and import it into the product catalogue, mapping each column to a field such as SKU, name, category, unit, price and cost. Validation flags rows with problems before they are imported. The product catalogue is on Essentials and up.

Do customers see my cost price and margin?

No. Cost and margin are kept in the catalogue and in your team's view. The customer's copy of the quote shows the items, quantities, prices, tax and totals, never your costs.

Does QuoteCloud connect to plumbing supplier price feeds?

No. QuoteCloud has no supplier or merchant price feeds and doesn't update prices by itself. Update your spreadsheet from your suppliers' prices, export a CSV and import it again.

Can labour rates and call-out fees go in the price book?

Yes. Add them as products with their unit, such as per hour or per call-out, and their price and cost. Plumbers then add the same rates to every quote, and you can still edit a line for a particular job.

Can I save a kit of parts and labour?

Yes. Build the kit as a price table, for example a standard toilet replacement, and save it to the content library. Drag it into any quote and adjust it there. The content library is on Essentials and up.

Can I stop staff discounting too far?

Yes, on the Business plan. An approval workflow triggered by discount percentage or total value holds the quote In Review until the approver approves it, and it can't be sent before then.

Does the price book track stock or van inventory?

No. The catalogue holds products and prices, not stock levels. Keep inventory in your job management or stock system.
